Please read carefully before booking your Kashmir journey with us
These Terms and Conditions constitute a legally binding agreement between you (“the traveller”) and Vetesta Holidays, a registered travel operator based in Srinagar, Jammu & Kashmir, India. By making an enquiry, placing a booking, or paying a deposit, you confirm that you have read, understood, and accepted these terms in full.
Booking Terms
Booking Confirmation
A booking is confirmed only upon receipt of the advance deposit (minimum 30% of the total package cost) and written acknowledgement from Vetesta Holidays. Verbal commitments do not constitute a binding reservation.
Enquiry-Only Platform
Our website and contact channels are designed for enquiry and itinerary planning purposes. No automated payments are processed online. All financial transactions are conducted directly with our travel consultants via bank transfer, UPI, or agreed payment methods.
Itinerary Changes
Vetesta Holidays reserves the right to alter itineraries at any time due to road conditions, weather, safety concerns, government orders, or force majeure events. Alternative arrangements of equivalent value will be provided wherever possible, but no monetary compensation is due for force majeure changes.
Traveller Responsibility
Travellers are responsible for ensuring valid ID/passport, necessary permits (Inner Line Permits, Protected Area Permits), travel insurance, and fitness for activities in high-altitude terrain. Vetesta Holidays is not liable for personal illness, injury, or loss arising from a traveller's failure to comply with these requirements.
Travel Insurance
We strongly recommend all travellers purchase comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and personal liability before finalising any Kashmir tour. Vetesta Holidays is not responsible for costs arising from events that travel insurance would normally cover.
Limitation of Liability
Vetesta Holidays acts as an organiser and intermediary. Our liability is limited to the total package cost paid. We are not liable for any indirect, consequential, or special damages, including loss of enjoyment or opportunity. Claims must be submitted in writing within 30 days of the tour end date.
Disputes & Governing Law
Any dispute arising from these terms shall first be resolved through good-faith negotiation. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of Srinagar, Jammu & Kashmir, India, and governed by the laws of India.
9 Cancellation Clauses
Our refund structure is designed to be fair to both travellers and our vendor commitments. Please review each clause carefully before booking.
If you cancel your confirmed booking 45 or more days before the scheduled departure date, you are entitled to a refund of 90% of the total package cost. A 10% administrative and processing fee is retained to cover documentation, reservation, and coordination costs already incurred on your behalf.
Cancellations received between 30 and 44 days before departure will receive a refund of 75% of the total package cost. The remaining 25% covers hotel and houseboat pre-deposits, transport reservations, and early-season permit fees that are non-recoverable at this stage.
For cancellations made 15 to 29 days prior to departure, 50% of the total package amount will be refunded. By this stage, the majority of hotel bookings, guide assignments, and transport arrangements are confirmed and non-cancellable without forfeiture, making a full refund impossible.
Cancellations between 7 and 14 days before the start date will receive a refund of only 25% of the package cost. At this juncture, virtually all vendors have finalised arrangements and penalise Vetesta Holidays heavily for cancellation. The 75% retention covers these irrecoverable costs.
No refund will be issued for cancellations made within 6 days of the departure date, or in the event of a no-show (failure to join the tour without prior written notice). All vendor payments will have been fully disbursed, and costs are entirely non-recoverable. Travel insurance is strongly recommended to cover such eventualities.
In the event of cancellation due to circumstances beyond reasonable control — including but not limited to natural disasters, earthquakes, floods, landslides, Section 144 orders, military action, government travel advisories, epidemics, or closure of border areas — Vetesta Holidays will not issue cash refunds. Instead, the full amount paid will be converted to a credit note valid for 12 months from the original travel date, redeemable on any Vetesta Holidays tour. Any costs already disbursed to non-refundable vendors will be deducted from the credit note.
Certain components of your package are inherently non-refundable regardless of cancellation timing. These include: (a) confirmed airline tickets, (b) special permits for restricted areas such as Gurez, Turtuk, or Line of Actual Control zones, (c) houseboat advance deposits on Dal Lake or Nagin Lake during peak season, (d) adventure activity deposits (rafting, skiing, paragliding), (e) pre-purchased entrance fees for national parks or wildlife sanctuaries. These costs will always be deducted before any refund is calculated.
All approved refunds will be processed within 10–15 working days from the date of written cancellation confirmation received by Vetesta Holidays. Refunds are credited to the original payment source (bank transfer, UPI, or card). Bank processing times may add 3–5 additional working days beyond our disbursement. We are not responsible for delays caused by your bank or payment provider. Refund confirmation will be sent via email to the address on file.
Date changes or itinerary modifications requested 30 or more days before departure will be accommodated at no extra charge, subject to availability of hotels and transport. Modifications requested within 30 days of departure are subject to vendor availability and may incur differential charges (e.g., peak-season rate differences, change-of-vehicle fees). Vetesta Holidays reserves the right to refuse modifications where vendor arrangements make changes logistically impossible. Any approved modification request must be made in writing to info@vetestaholidays.com.
